Privacy Policy

Last updated: May 2026 · Braided Legacy, Aotearoa New Zealand

This Privacy Policy is written in plain English to help you understand how we collect, use, and protect your personal information. It complies with the New Zealand Privacy Act 2020.

1. Who we are

Braided Legacy is a voice intelligence platform operated from Aotearoa New Zealand. We help organisations, including schools, not-for-profits and businesses, capture the voices of their communities in any language and turn them into reviewed, evidence-based insight.

If you have questions about this policy, contact us at: hello@braidedlegacy.com

2. What personal information we collect

We collect the following types of information:

  • Your name — provided when you record a memory or create an account.
  • Your email address — provided when you sign up or log in.
  • Voice recordings — audio files you record through the platform.
  • Transcripts — text versions of your voice recordings, generated automatically.
  • Usage data — basic information about how you interact with the platform (e.g. pages visited), collected via standard web analytics.

We do not collect sensitive personal information (such as health information, ethnicity, or financial data) unless you choose to include it in a recording.

3. How we collect your information

We collect information:

  • Directly from you when you sign up, log in, or submit a recording.
  • Automatically when you use the platform (e.g. browser type, device type).
  • Through third-party authentication providers (e.g. Google) if you choose to sign in that way.

4. Why we collect your information (our purposes)

Under the Privacy Act 2020 (Information Privacy Principle 1), we only collect information for lawful purposes directly connected to our services. Specifically, we use your information to:

  • Enable you to record, store, and share voice memories.
  • Transcribe your audio recordings into text.
  • Allow project owners to review, manage, and export recordings.
  • Send you service-related emails (e.g. account confirmation).
  • Improve the platform based on usage patterns.

We do not use your information for advertising or sell it to third parties.

5. Who we share your information with

We may share your information with:

  • The project owner — the person who created the memory project you contributed to. They can listen to your recording and read your transcript.
  • Service providers — third-party technology providers who help us operate the platform (e.g. cloud storage, transcription services, authentication). These providers are bound by confidentiality obligations.
  • Law enforcement or regulators — if required by law or to protect the rights and safety of others.

We do not sell your personal information to anyone.

6. Storage and security

Your data is stored on secure, encrypted servers. We use industry-standard security measures to protect your information from unauthorised access, disclosure, or loss.

Audio files and transcripts are stored in New Zealand-hosted or equivalent secure cloud infrastructure. We take reasonable steps to ensure our service providers also maintain appropriate security standards.

No method of transmission or storage is 100% secure. If you believe your information has been compromised, please contact us immediately.

7. How long we keep your information

We retain your information for as long as needed to provide the service:

  • Active recordings and transcripts are kept until the project owner deletes them or closes the project.
  • Account information is retained while your account is active.
  • If you request deletion, we will remove your personal information within 30 days, unless we are required by law to retain it.

8. Your rights under the Privacy Act 2020

You have the right to:

  • Access the personal information we hold about you.
  • Correct any personal information that is inaccurate or incomplete.
  • Request deletion of your personal information.
  • Complain to the Office of the Privacy Commissioner (OPC) if you believe we have breached the Privacy Act. See privacy.org.nz.

To exercise any of these rights, email us at hello@braidedlegacy.com.

9. Cookies and tracking

We use cookies and similar technologies to keep you logged in and to understand how the platform is used. We do not use cookies for advertising purposes.

You can disable cookies in your browser settings, but this may affect your ability to use the platform.

10. Children's privacy

Braided Legacy is not directed at children under 13. If you are under 13, please do not use the platform without parental consent. If we become aware that a child under 13 has submitted personal information, we will delete it promptly.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the date at the top of this page. We encourage you to review this page periodically. Continued use of the platform after changes constitutes your acceptance of the updated policy.
